What a training record must contain, how long to keep it, what an HSA inspector asks for, how certificates with verification codes change the audit, and the template most Irish employers use.
Health and safety training records are the proof behind every duty in the Safety, Health and Welfare at Work Act 2005: the Act requires the training, the records show it happened. An inspector, an insurer, a main contractor and a solicitor after an accident all ask the same question, "show me the training", and the answer is a record, not a memory. This guide sets out what a record must contain, how long to keep it, what the Health and Safety Authority asks for on inspection, and how verifiable online certificates have made the whole thing simpler.

No section says "keep a register", but Section 10 requires dated training, Section 20 requires the safety statement to set out the training arrangements, and Section 64 lets inspectors demand records. In practice a training record is the only way to show compliance.
For the whole period of employment and at least six years after it ends, which covers the limitation periods for claims and the retention windows employers already apply. Health surveillance records under the chemical agents and noise regulations have longer statutory periods.
The safety statement and risk assessments first, then the training record for the specific hazards observed during the inspection: the people lifting, driving, working at height, named as fire wardens or first aiders. Electronic records and verifiable online certificates are accepted.
The certificate is the evidence; the record is the register that lists who holds it, when it was issued and when it is due. The employer dashboard here produces both, and every certificate can be verified online by its code.
Yes, they are personal data. The lawful basis is the legal obligation to train and demonstrate compliance; the retention period should be stated in the data retention policy and applied consistently.
A record is one row per person per course with dates and evidence. A matrix is a grid of roles against courses that shows which training each role needs and whether it is current, so gaps are visible at a glance. Most employers keep both.

For businesses, the free Employer Dashboard turns a team rollout into one afternoon of work: bulk registration, live progress and every health and safety certificate in one clean screen, with automatic volume discounts applied at checkout.
This workplace safety course was designed for real staff schedules. Every lesson streams on any device, every pause saves the place, and nothing needs installing. HD video, animation and interactive questions turn hazards, risk assessment and emergency response into knowledge people keep.
The syllabus tracks exactly what the HSA expects from general employee training: legal duties, hazard identification and reporting, risk assessment basics, fire safety, manual handling awareness, ergonomics and welfare. Scenarios span Irish offices, shops, sites and factories.
Whether you are onboarding one new starter or refreshing an entire company, the employee safety training flows without friction from registration to certificate.
Classroom safety inductions for a whole workforce cost serious money: venues, trainers, cover and lost days, repeated for every intake. The online employee safety course removes all of it. Staff certify from their desks or homes, starting the moment you enrol them.
Managers see each completion in real time and can hand auditors a complete company training record in seconds. Stack the automatic volume discounts on top and this becomes the most economical accredited employee safety training available in Ireland.
Pricing is honest: one figure covers the full course, unlimited retakes and the instant health and safety certificate. No add ons, ever.
Nobody learns well against a stopwatch. The self-paced workplace safety course lets each employee move at whatever speed suits, pausing on any device and resuming exactly where they left off. Shift workers, field staff and office teams all finish comfortably.
A clear progress tracker shows how much of the employee safety training remains and how close the certificate is. Some finish in one focused sitting of about 1-2 hours; others take a few short sessions. Both work perfectly.
Assign it company wide and staff will slot it around real work without disruption, one of the main reasons Irish employers return to Online Safety Courses year after year.
There is no waiting around. Each pass generates a digital health and safety certificate on the spot, aligned with Irish legislation and recognised across Ireland, the UK and Europe.
Certificates live permanently in each account for re-download during audits and inspections, and unique verification codes let any inspector confirm them instantly.
For the business, that means a complete, verifiable training record for every single person on the payroll, ready the moment the HSA asks.
Every module comes from licensed, Chartered (CMIOSH) health and safety consultants holding NFQ Level 6 and QQI Level 6 qualifications, people who train real Irish workforces for a living.
That experience shows: staff learn to spot the hazards they walk past daily, understand why risk assessments exist, know their sixty second fire response and protect their backs when lifting. Real Irish scenarios make every lesson stick.
Content is re-reviewed against current legislation and HSA guidance, so the workplace safety course never drifts out of date.
The platform never closes. Night crews certify at 3am, weekend staff on Sunday morning and office teams over lunch, all with exactly the same premium experience.
Progress syncs across every device automatically, so switching from phone to laptop mid module is seamless.
Employees can also revisit modules anytime, so a quick refresher on fire response or hazard reporting is always one tap away, turning the course into a living resource for the whole organisation.
Online Safety Courses has certified more than 749,500 learners across Ireland, the UK and Europe, with a 98% pass rate and a 4.9 star average from verified Google reviews we cannot edit or hide.
From Dublin to Cork, Galway to Limerick and Waterford to Belfast, our employee safety training builds companies where safety is normal rather than an event.
Employers come back because it simply works: clean records, instant certificates and a support team that answers.
Every person on every Irish payroll, because the 2005 Act requires training at induction, on role changes and at regular intervals for all employees. This is the one course that covers the entire organisation.
In practice, businesses run it as the universal baseline: new starters complete it during induction, existing staff refresh on a rolling cycle, and role specific courses like Manual Handling, Working at Heights or HACCP sit on top for those who need them.
That layered structure is exactly what HSA inspectors want to see, and our Employer Dashboard makes it effortless to manage. Our Irish support team can help design the right training matrix for your company.
What a training record must contain, how long to keep it, what an HSA inspector asks for, how certificates with verification codes change the audit, and the template most Irish employers use.
No section of the 2005 Act says "keep a training register", but three sections make one unavoidable. Section 10 requires training at recruitment, on change of task and periodically, which cannot be shown without dates. Section 20 requires the safety statement to set out the arrangements for training and the names of the people responsible, which means the statement promises a record. And Section 64 gives inspectors the power to require the production of records and documents and to take copies. The Safety, Health and Welfare at Work (Reporting of Accidents and Dangerous Occurrences) Regulations 2016 add a second reason: after a reportable incident, the training history of the people involved is the first thing the investigation examines.
A spreadsheet with one row per person per course holds all of this for a small business; a training matrix turns the same data into a grid of roles against courses so that gaps are visible at a glance.
The Act sets no retention period for training records, so the sensible rule is the longest period during which they could be needed. Civil claims for personal injury must normally be brought within two years of the injury, but the record of a course completed years earlier is what shows the employee was trained at the relevant time, so employers keep training records for the whole period of employment and for at least six years after it ends, in line with general limitation periods and with the Revenue and employment law retention windows they already apply. Health surveillance records under the Chemical Agents and Noise regulations have their own, much longer, statutory periods. Records are personal data under the GDPR; the lawful basis is the legal obligation and legitimate interest in demonstrating compliance, and the retention period should be written into the data retention policy.
An inspection usually opens with the safety statement and the risk assessments, and moves within minutes to "how do you know your people are trained for this". The inspector wants to see the record for the specific hazards observed on the walk round: the person on the forklift, the staff handling the loads, the people named as fire wardens, the first aider on duty. Missing or expired training leads to an improvement notice with a deadline; training missing for a task that could kill or seriously injure can lead to a prohibition notice that stops the activity on the spot. Inspectors accept electronic records and online certificates, and a certificate that can be verified on the provider's website while the inspector is standing there ends the conversation.
Every certificate issued on this platform carries a unique code and can be checked by anyone through the verification page. For the employer that means the record keeps itself: the dashboard lists every employee, every course, the completion date and the expiry, and exports it. For the main contractor at site induction, the insurer renewing the policy and the inspector on the floor, it means proof in seconds instead of a phone call to a training company that may no longer exist. The courses behind the certificates are the ones Irish employers record most often: the induction, manual handling, fire safety, fire warden, display screen equipment, working at heights, COSHH, HACCP and emergency first aid.
| Field | Example | Why it is there |
|---|---|---|
| Employee and role | M. Byrne, warehouse operative, Cork depot | Links the record to the risk assessment for the role |
| Course and regulation | Manual Handling, GA Regulations 2007 Part 2 Chapter 4 | Shows which legal duty the course discharges |
| Completed and due | 12 March 2026, due 12 March 2029 | Section 10 periodic training and the safety statement interval |
| Provider and assessment | Online Safety Courses, assessed, passed 90% | Competence of the trainer and evidence of understanding |
| Certificate reference | Verification code on the certificate | Proof an inspector or contractor can check in seconds |
| Reviewed by | Supervisor initials and date | Shows the record is managed, not just stored |
Training with dates, promised in the safety statement, producible to an inspector on demand.
The retention most Irish employers apply, written into the data retention policy.
Verification in seconds replaces the phone call to a training company.
The accredited Health and Safety Course and every other course here issue a certificate with a verification code the moment the assessment is passed, and the employer dashboard keeps the record for you: who, what, when, due and proof, exportable for any inspector.
