Analyse every workstation used by a DSE employee to evaluate the risks to eyesight, physical problems and mental stress, and take measures to remedy the risks found. Ensure workstations meet the Schedule 4 minimum requirements. Plan the daily work routine so that screen work is periodically interrupted by breaks or changes of activity. Provide employees with information about all aspects of safety and health relating to their workstation and about the measures taken, and provide training in the use of the workstation before starting DSE work and whenever the workstation is substantially modified.
Employees are entitled to an appropriate eye and eyesight test, carried out by a competent person, before starting DSE work, at regular intervals thereafter and whenever they experience visual difficulties that may be due to screen work. Where the test shows that normal corrective appliances cannot be used and special corrective appliances are needed for the DSE work, the employer must provide them. The employer pays for the tests and for the special glasses, and the tests are during working hours.
Screen: stable image, adjustable brightness and contrast, easily swivelled and tilted, free of reflective glare. Keyboard: tiltable, separate from the screen, with space in front to rest the hands. Desk: sufficient size and a low reflectance surface, with a document holder where needed. Chair: stable, adjustable in seat height and back height and tilt, with a footrest available on request. Environment: enough space to change position, adequate lighting without glare, windows with adjustable coverings, noise and heat that do not distract, humidity controlled. Software: suitable for the task, easy to use, adapted to the user's knowledge, with no covert monitoring.
Most employers use a self assessment checklist completed by the employee, reviewed by a trained assessor, with adjustments made and recorded. The assessment is repeated when the workstation, the software or the employee's circumstances change, and it covers home workstations for hybrid and remote staff.
